Principle Objectives:
- Assist with administrative support to the HR Consultants
- Provides basic level of customer support to employees and managers
- Be an enthusiastic participant in all HR departmental activities

Ensures Customer and Market Growth:
- Assist with Induction process
- Present Graduate programme (or other) at Induction
- Assist as required for Wellness day
- Investigate what different approaches are being used to Wellness in the market
- Analyse all exit interviews on a quarterly basis, and write a summary analysis to see what trends are apparent
- Follow up on all outstanding information / PIF’s not completed correctly, before handing in to Payroll for processing.
- Analyse HR data trends such as excessive sick leave, overtime and labour costs

Manages Operational effectiveness:
- Update all training on a monthly basis (as per Seta & Nera requirements)
- Book & Confirm training with providers once training has been authorised.
- Book training rooms as required
- Assist with WSP & ATR
- Read & understand the Role of the Seta
- Constantly monitor Seta website and recommend any projects ELC can partake in
- Develop a feedback questionnaire to be completed by all training delegates
- Ensure starter packs are ready for any new starts (by the 25th of each month)
- Attend all EE committee meeting to gain exposure on this level
- Maintain organisational structures
- Manage contracts tracker - capture all relevant incoming documents on the contracts tracker (includes signed employee contracts)
- Support Receptionist and provide relief for lunch break
- Support HR Manager, Consultants and Coordinator on an ad-hoc basis
- Sorting and screening of CVs received from HR Applications
- Create and maintain candidates’ database
- Assist with drafting of internal for posting on the intranet

Improves Business Processes:
- Assist in the recruitment process by setting up interviews, booking meeting rooms, doing reference checks and regretting unsuccessful candidates.
- Sit in on interviews throughout the year to observe different styles.
- Investigate ‘best practice’ interview question to ask candidates, per job role - draw up competency based interviews
- Update Recruitment website with new vacancies
- Investigate what competitor, industry & other value propositions are (reward & retention)

Activities or as required:
- Thorough knowledge of Provident Fund & medical aid in order to assist with any queries
- Present the Retail Induction Day, monthly
- Assist with all CSI projects as required
- Familiarise self with LRA, EE Act, SDA, etc
- Investigate ways to use social media for recruitment purposes
- Do HR filing on a weekly basis
- Provide support to HR Team on special projects
- Participate in HR organized events, programs, induction and corporate awareness
- Participate in workshops / info sessions conducted annually prior to commencement of process
- Assist with preparation of training material (i.e. photo copying, binding, sorting) etc
- Booking catering for training and assist with clearing training room after.
- Distribution of documents to staff - e.g. prepare envelopes, photocopy, sort into brands, etc
- Adhoc tasks as requested by the HR Manager

Education:
- Grade 12
- HR Qualification
- Strong admin & typing skills
- Computer Literacy (MS Office)

Key Personal Characteristics:
- Maintain high level of confidentiality
- Detail orientated
- Efficient

Definitions:

Internship:

There are basically two types of internships:

  • The Undergraduate Internship: Usually with bigger organisations that pick undergraduates to attend the internship. It often takes places during the holidays and the average durations is a few weeks. In most cases the intern will receive some sort of stipend or salary and this type of internship may lead to a job offer to the intern once he / she is finished with their studies.
  • The Graduate Internship: This type of internship could be paid or unpaid and it is to gain practical work experience after the qualification has been completed and in a job related to the qualification. It could be from a few weeks or even one or two years long. This type of internship could also lead to permanent employment.

Learnerships:

A learnership is an occupational qualification and it consists of theory and work-based experience and practical skills, with formal assessment and a qualification. At the end of the learnership the candidate may be offered permanent employment.

In-service training:

In-service training is to gain practical work experience during studies. It usually takes place after a few years of theory has been successfully completed. It is essential work experience that is part of the qualification and the in-service training is necessary to achieve the qualification. It could be paid or unpaid.
