Main purpose of the job: Works in the Project Office and supports the Special Project & Governance team by ensuring that the project team has the required project administrative support during the lifetime of the project and to ensure that procedures are followed and tools are used.

Key areas of responsibility :
- To support the project planning and initiation processes:
- Opening the project on EPM
- Obtain the WBS Code
- Link the project resources to the project (EPM and WBS)
- To support the project controlling and executing processes:
- Controlling and monitoring the financial part in the project
- Controlling, monitoring and reporting the current status of the project
- Supporting the risk management activities and the project communication
- Manage the project administration activities (HR, purchasing, infrastructure, etc.)
- To support the project closing processes:
- Assist the project manager in preparing the closure report
- Ensure the financial closure of the project
- Manage the project closure meeting
- To support the implementation and control of the ICTO PME Delivery Capability
- Implement TSI PM Standards
- Coordinate the certification of PME members. Internally and externally.
- Oversee and manage the execution of Quality Gates for projects running for longer than 8 weeks. Ensure the use of KM for storage of Work Products for all projects. Conduct regular audits on all projects to maintain a high quality standard.
- To provide administration to the PME and PMCC Manager:
- Do project coordination tasks - arrange meetings and workshops, prepare schedules, handouts, and other logistics. Take minutes, attendance registers and distribute. Order and control stationary and assets. Do travel arrangements. Prepare presentations and other documents.
- Assist project Manager with financial administration by tracking invoices and payment schedules, preparing month end procedures and reports
- Ensure the application of standards to all Cat A/B PMO's where responsible.
- Ensure the use of EPM for all projects
- Act as EPM Power User. Provide support and training to team members. Respond to Cosima incidents and prepare weekly report to PMCC
- Do central weekly/monthly and ad hoc reporting on all projects
- Manage and control Timesheet Booking of full year contracted Hrs. Manage and control Billable full year contracted hrs.
- Conduct internal PM customer satisfaction surveys aligned with Employee of the Month.
- Monitor and update assets using the corporate tools

Criteria for selection:
- Applicants must be South African citizens;
- Have completed a Project Management Diploma/Certificate or equivalent and be able to demonstrate good academic record and achievements;
- Application forms must be completed in full and copies of academic records must be included;
- Not have previously participated in an internship or graduate programme;
- Have no work experience in the field of study;
- A recent graduate (2010-2012);
- Considered a youth (18 to 27 years);
- Verified qualification certificate and no criminal record;
- Effective communication in English (written and verbal);
- Computer literacy (MS Office, basic Word, PowerPoint, Excel);
- Prepared to undergo psychometric assessments.

Definitions:

Internship:

There are basically two types of internships:

  • The Undergraduate Internship: Usually with bigger organisations that pick undergraduates to attend the internship. A learnership is an occupational qualification and it consists of theory and work-based experience and practical skills, with formal assessment and a qualification. At the end of the learnership the candidate may be offered permanent employment.

In-service training:

In-service training is to gain practical work experience during studies. It usually takes place after a few years of theory has been successfully completed. It is essential work experience that is part of the qualification and the in-service training is necessary to achieve the qualification. It could be paid or unpaid.
